What we collect, why we hold it, where it sits, and who else touches it.

Who this covers
Two groups of people appear in Adorna. The first is you: the owners and team members who hold accounts. The second is your customers, whose details you enter or who book through your page. For your own account we decide what to collect and why. For your customers you decide, and we hold the records on your behalf and act on your instructions.
What we collect
Grouped by what it is, not by where it lives:
- Account details: your name, your email address, and a hashed password. We never store a readable password.
- Salon profile: business name, working hours, team members, services, and prices.
- Customer records you enter or receive through your booking page: name, phone number, and any notes you add.
- Bookings: what was booked, with whom, when, and what became of it.
- Payment records: amounts, status, and the reference the gateway returns. Card numbers are handled by the gateway and never reach us.
- Files you upload, such as salon photos and service images.
- Product usage: which screens are opened and which actions are taken, so we can see what is confusing.
- Technical data: IP address, browser, and whatever is attached to an error report.
What we do with it
We use it to run the product: show your calendar, take bookings, send reminders, raise invoices, and answer you when you write in. Usage and error data tells us what breaks and what to build next. We do not sell any of it, and we do not hand it to anyone for their own marketing.
Payments
Online payments are processed by a licensed payment gateway against your salon's own merchant account. You enter your gateway keys once; we store them encrypted and use them only to raise and verify your invoices. What comes back to us is an amount, a status, and a reference. We never see, transmit, or store a card number.
WhatsApp, SMS, and email
Confirmations and reminders leave through messaging and email delivery providers, which means a customer's contact details and the text of the message pass through them to be delivered. These providers keep delivery logs under their own policies.
Analytics and error reports
A product analytics service records how the product is used, and an error monitoring service records failures when something breaks. Both exist to help us fix and improve Adorna, not to profile individuals or to advertise. Where either is switched off for an environment, nothing leaves it at all.
Who processes data for us
The list is short on purpose. Each provider does one job:
- A managed database: the records you keep in Adorna.
- Cloud hosting: the servers that run Adorna.
- Cloud storage: the files you upload.
- A licensed payment gateway: online deposits and payments.
- An email delivery service: transactional email.
- Messaging providers: reminder and confirmation delivery.
- A product analytics service: how the product is used.
- An error monitoring service: failures and crashes.
Where it is stored
The database and the application servers run inside the European Union. Uploaded files sit on a cloud storage network. Messaging and analytics providers run their own regions, so some data reaches infrastructure outside the EU on its way to being delivered.
How long we keep it
Your records stay while your workspace is open, because a booking history is half the point of the product. Close the workspace and you have 30 days to export before we delete it. We keep what accounting and tax rules oblige us to keep, and error reports expire on their own within 90 days.
Security
Traffic is encrypted in transit, passwords are hashed, and payment gateway keys are encrypted at rest with keys we rotate. Access to production data is limited to the people who need it to run the service. No system is perfect; if a breach affects you we will tell you without waiting to be asked.
Your choices
You can see and edit almost everything from inside the product, and export your data whenever you want. Write to us to correct or remove something you cannot reach yourself. If you are a customer of a salon that uses Adorna, ask the salon first: the records are theirs, and we pass such requests on to them.
Changes to this policy
When what we collect changes, this page changes with it and the date at the top moves. If a change is significant we will say so by email rather than let you find it.
